How to Save Your Google Calendar Events to a USB Flash Drive

If you're retiring or switching accounts, it’s a good idea to back up your calendar events. This guide will help you export your Google Calendar data to a USB flash drive for your personal records.

Environment

To follow these instructions, you will need:

  • A USB flash drive (8GB is plenty).
  • computer with internet.
  • Your GRCC account login (username & password).

Process

For Windows Users

  1. Plug in Your USB Flash Drive
  • Plug your USB drive into a USB port on your computer.
  • Open File Explorer (yellow folder icon).
  • Find your USB drive on the left side menu (may be labeled USB Drive or Removable Disk).
  1. Export Google Calendar Data
  • Open your web browser and go to Google Calendar.
  • Sign in to your Google account.
  • On the left side, find "My calendars".
  • Click the gear icon at the top right and select "Settings".
  • Under "Settings for my calendars", click on the calendar you want to export.
  • Scroll down to "Integrate calendar".
  • Click "Export calendar".
  • A .zip file will be downloaded to your Downloads folder.
  1. Move Calendar File to USB Drive
  • In File Explorer, open your Downloads folder.
  • Locate the downloaded .zip file.
  • Click and drag the file to your USB Drive folder.
  1.  Eject the USB Flash Drive
  • Right-click your USB drive in File Explorer.
  • Select Eject.
  • Wait for confirmation before unplugging.

For Mac Users

  1. Plug in Your USB Flash Drive
  • Plug your USB drive into a USB port on your Mac.
  • Open Finder (blue smiley face icon).
  • Look for your USB drive under Locations (may be labeled Untitled or USB Drive).
  1. Export Google Calendar Data
  • Open your web browser and go to Google Calendar.
  • Sign in to your Google account.
  • On the left side, find "My calendars".
  • Click the gear icon at the top right and select "Settings".
  • Under "Settings for my calendars", click on the calendar you want to export.
  • Scroll down to "Integrate calendar".
  • Click "Export calendar".
  • A .zip file will be downloaded to your Downloads folder.
  1. Move Calendar File to USB Drive
  • In Finder, open your Downloads folder.
  • Locate the downloaded .zip file.
  • Click and drag the file to your USB Drive folder.
  1. Eject the USB Flash Drive
  • Drag the USB drive icon to the Trash, or right-click and select Eject.
  • Wait for confirmation before unplugging.

    Optional: Upload Your Calendar to a Personal Google Account

If you’d like to import your calendar into your personal Gmail account:

  1. Go to calendar.google.com and sign in with your personal Gmail account.
  2. Click the gear icon in the top right corner and select “Settings.”
  3. On the left-hand side, click “Import & export.”
  4. Under Import, click “Select file from your computer.”
  5. If you exported your calendar earlier, it may be saved as a .zip file.
  • Double-click the .zip file to open it, and you will see one or more .ics files inside.
  • Select the .ics file for the calendar you want to import.
  1. Choose which calendar to add the events to, then click Import.

Your events will now appear in your personal Google Calendar.

That’s it!

You’ve saved your Google Calendar to a USB flash drive and if you chose to upload them, they’re also available in your personal Google Calendar for easy access.
