What is the process to change my MyGRCC account username to match my new name?

Answer

Students and employees of GRCC may request a username change through IT to update their MyGRCC account. This username is used for the MyGRCC portal, Canvas, Online Center, and Google Workspace.

Update Primary System and Records

Before IT can process a username change, your name must first be updated in the official system of record:

Legal Name Change

  • Students must contact the Office of the Registrar.
  • Student Employees must contact Student Employment Services.
  • Staff and Faculty must update their legal name with Human Resources (HR) by submitting a completed Legal Name Change Form along with a valid ID.

Preferred Name Change

  • Students must update their Preferred Name via the Online Student Center under the Profile tile.
  • Staff and Faculty must update their preferred name with HR by submitting a completed Preferred Name Change Form along with a valid ID.

Submit IT Request

Once the primary system is updated, submit the Name Change Request form (opens in a new window) from the IT Service Catalog.

  • You will select a preferred date for the change. Name changes are processed starting at 8:00 AM on business days.
    • Requests must be submitted by 9:00 PM to be processed the following business day at 8:00 AM. Any request submitted after 9:00 PM will take two business days to process.
  • You must remain logged out of all GRCC systems for at least one hour during the transition.
  • IT Support will notify you via your provided contact information (personal email address or phone number) once the new username is active.

Post-Change Actions

  • Students must inform their instructors of the change, as instructors are not automatically notified when a username is updated.
  • Manually update your display name in Google Account (opens in a new window). This controls how your name appears in Gmail and Drive.
Note: Notify your contacts that your email address has changed. Do not set up email forwarding to an external personal account; this can cause the GRCC domain to be blacklisted by security filters.
