The Assistant Registrar-Curriculum Operations oversees all aspects of building curriculum in student facing college systems for the purposes of academic planning and registration. This position, reporting to the Registrar, also supports compliance with accreditation requirements, federal compliance, and GRCC policies related to curriculum development and offerings.

ESSENTIAL FUNCTIONS

  • Serve as the curriculum operations lead in the Student Records office. Support both the Department of Instructional Support and Academic Departments in the implementation of courses and programs in the Campus Wide Information System (CWIS) 

  • Stay up to date on federal program level reporting elements and requirements; ensure systems accurately retain required reporting data

  • Responsible for semester schedule roll and communicating changes and/or issues to Associate Dean Offices

  • Represent the Registrar on college committees and teams as requested

  • Perform as an advocate for users and promote acceptance of new processes and systems

  • Support the development of more efficient business processes utilizing the Campus Wide Information System (CWIS)

  • Analyze and conduct needs assessment for future CWIS enhancements and functional improvements to benefit students, faculty, and staff

  • Coordinate with the IT department analyst(s) regarding innovation and use of the CWIS system

  • Test and implement new and modified student records functionality in the CWIS

  • Prepare functional and technical process documentation (process mapping)

  • Create, maintain and deliver CWIS training and provide technical support for staff in the Student Records/Registrar’s Office

  • Support and enhance existing applications in compliance with specifications and standards.  Remain current in the field of state and institutional student records programs, policies, and procedures

  • Produce reports using PeopleSoft Query/BI Publisher reporting tools

  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position

JOB SPECIFICATIONS

Educational Credentials

  • Bachelor’s Degree required, Master’s Degree preferred

  • National Career Readiness Certificate preferred, but not required

Work Experience

  • Minimum of three years of higher education, student records/academic support experience preferred

  • Able to sit at a desk for extended periods of computer usage daily

Mental Demands

  • Comprehensive knowledge of state and federal laws affecting students and institutional student records requirements 

  • Proficient in Windows environment and with MS Office products, working knowledge the Campus Wide Information Systems (CWIS) and query

  • Strong interpersonal skills, attention to detail, and organization and problem-solving ability required 

  • Analytical skills and a basic statistical background preferred

  • Ability to communicate effectively both oral and written with a diverse student, staff, and business partner population and provide exceptional customer service.  Ability to plan and work independently and as a team member

  • Must be efficient and possess good organization, problem-solving, decision-making, and analytical skills. Must use good and independent judgment in handling sensitive or difficult situations

  • Proven initiative, follow through, resourcefulness, and completion of tasks in a timely, efficient manner

  • Ability to do detail work independently with highest level of accuracy; ability to handle multiple tasks simultaneously; self-starter
