The Director of Ford Fieldhouse Operations and Campus Event Services is responsible for the oversight of all day-to-day operations of the Ford Fieldhouse including effectively scheduling activities and events to maximize facility use while meeting often competing usage demands. This position is responsible for overseeing the conference and event services on campus by assisting with scheduling, planning, and execution of campus events. This position is additionally responsible for all aspects of College’s charter bus and vehicle rental and the administration of campus wide vending operations.

ESSENTIAL FUNCTIONS
Ford Fieldhouse

Serve as a team member of the College’s Finance & Administration Team, and assist in the advancement of GRCC’s mission, vision, values, and goals while embracing the diverse constituencies that define GRCC

Provide oversight and leadership to the operations staff within the Ford Fieldhouse facility

Provide strategic leadership and planning for facility programming in alignment with institutional vision
-
Oversee the day to day operations of the Ford Fieldhouse to maximize efficiency and meet the needs of Exercise Science Department, other academic departments that utilize the facility, the Athletic Department, Fieldhouse Community Memberships, and student and staff recreational use

Contract buses and vehicles for college travel while maintaining a comprehensive record of charter and rental costs college-wide

Provide a clean, safe, and secure environment for all facility user groups

Handle the master scheduling of all areas and activities so as to provide an orderly and efficient use of space and meet the needs of all users, given the physical constraints of the facility

Ensure all events within the Ford Fieldhouse are appropriately staffed with custodial, police and other college employees

Responsible for the management of all budgets associated with the Fieldhouse

Responsible for the general oversight of College vending operations

Responsible for the orderly operation of the concessions and food service operation for all activities and events within the Ford Fieldhouse

Oversee the inventory control, sales reports, and maintenance of our license to prepare and sell foods from the Kent County Health Department

Write departmental action plans and projects and monitor the success of each plan or project

Oversee supervision and payroll for all full time, part time, and student employees

Oversee the hiring and onboarding of all new Ford Fieldhouse employees

Oversee the evaluation of all Ford Fieldhouse employees

Persons in this role are identified as a Campus Security Authority (CSA). CSA's will be trained and responsible for reporting Clery Reportable Crimes to Campus Police as required by the Clery Act

Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position

Campus Event Services

Provide oversight and leadership to the operations staff within the Conference and Event Services Department
-
Responsible for the development, negotiation, writing, and execution of all rental agreements and MOU’s related to space and events in accordance with all applicable federal, state, local, and institutional guidelines

Confirm rental agreements and MOU’s are comprehensive and institutional liability is minimized

Oversee hiring, training, supervision, evaluation, and payroll for the Coordinator of Facility and Events

Oversee the utilization of the 25Live scheduling software
-
Liaison between the main schedulers of 25Live on campus
-
Ensure that all internal and external clients adhere to standard operating procedures and college policies as it relates to events and space on campus

Develop creative and innovative solutions to unique challenges posed by each event
-
Coordinate the appropriate event services with GRCC service providers (Facilities, IT, Campus Police, Food Services)

Maintain accurate records of event-related correspondence, rental agreements, certificate of insurance, invoices, and other documents

Assist with creating door lock schedules for buildings on campus using S2.
JOB SPECIFICATIONS
Educational Credentials
-
Bachelor’s degree in Facilities Management, Educational Leadership, or similar field required

American Red Cross CPR/AED for the Professional Rescuer and Healthcare Provider Certification Required
Work Experience

Minimum of five years of experience working in a leadership capacity at a collegiate or equivalent multi-use facility required

Must have experience with long-term strategic planning using data at an educational institution
