Reporting a Lost or Stolen GRCC computing device

Overview

The College and all of its employees are obligated to protect sensitive College data and College assets under the Acceptable Use Agreement (AUA) (opens in a new window). Should a GRCC computer become compromised due to loss or theft, the College and those responsible for the hardware must immediately take steps to prevent or minimize the harm or damage that could result as a loss of the device or misuse of data.  

This process provides guidelines designed for reporting lost/stolen GRCC technology assets. This process applies to all Grand Rapids Community College owned computing devices.

 

Process

Support Desk Process

All requests received will come to the Support Desk with a status of New.

  1. Update the ticket status to Open.
  2. Update the urgency to High.
  3.  Change the Responsible field to the Director of IT Service Management & Endpoint Solutions.
  4. Update the Service to Report Lost or Stolen Device.
  5. Set the Type to Information & Network Security / Data Security.
  6. Use Template Response Lost/Stolen Received (Staff/Faculty) or Lost/Stolen Received (Student).

 

Director of IT Service Management & Endpoint Solutions Process

  1. Review provided data, collect or clarify missing data.
  2. File report with Campus Police.
  3. Collect device encryption status from Endpoint Management.
    • If Mac device, instruct Endpoint to put device into Lost mode.
  4. Reassign ticket to Information Security.
    • Follow up with direct contact to ensure the ticket is seen in a timely manner.

 

Information Security Process

  1. Follow up with User for data security.
  2. Reassign ticket to Asset Procurement and Licensing for device replacement following security investigation.

 

Asset Procurement and Licensing Process

  • Follow standard device replacement process pending investigation results.
