Issue
After a new Microsoft 365 account is created or provisioned, the user is unable to launch online applications (such as Word, Excel, or PowerPoint) directly from the main Microsoft 365 home dashboard. The icons may be missing, greyed out, or display an access error.
This is typically a temporary issue caused by a sync delay while Microsoft's back-end servers fully provision the newly created license.
Environment
- Microsoft 365 Web Applications (Word, Excel, PowerPoint)
- Web Browsers (Google Chrome, Microsoft Edge, Safari)
Temporary Workaround (Access via OneDrive)
If a user needs immediate access to create or edit documents while their account finishes provisioning, they can bypass the main dashboard by using OneDrive's direct creation tool:
- Navigate directly to OneDrive's Web Portal (opens in a new window).
- Sign in using the correct GRCC credentials based on your status:
- Employees (including Student Employees): Sign in with username@cloud.grcc.edu and complete the Single Sign-On (SSO) prompt.
- General Students: Sign in with your standard student email address username@email.grcc.edu and your password.
- Once the OneDrive dashboard loads, select Add new (or Create) from the top-left corner.
- Select the type of file you want to create (such as a Word Document or Excel Workbook). The app will launch successfully in a new browser tab.
Permanent Resolution
For Technicians: Verifying the License Sync
If the online apps remain unavailable after 24 hours, a full-time IT technician must verify that the license was assigned correctly in the admin portal.
- Navigate to the Microsoft 365 Admin Center (opens in a new window).
- Select Users, then Active Users.
- Search for the user using their GRCC email address.
- Click on their name to open the details panel, and select the Licenses and apps tab.
- Verify that the correct license is checked:
- General Students & Full-Time Faculty/Staff/Adjuncts: Must have an A3 License assigned.
- CEBA, Contingents, & Student Employees: Must have an A1 License assigned.
- If the correct license is assigned but the apps still fail to appear on the main portal after a day, uncheck the license, select Save changes, wait 10 minutes, re-check the license, and save again to force a hard sync.
