Session Overview

This session provided staff with practical IT training, focusing on troubleshooting and IT support resources. Basic supply management and organizational updates were also discussed. The goal was to increase self-reliance, improve efficiency, and ensure staff know how to access support when needed.
 

Operations & Supplies

Printer Operations

  • Orange light indicates paper issues, often the bottom tray needs refilling and guides adjusted.
  • Persistent paper jams can be cleared by powering off from the internal switch inside the front cover.

Paper & Supply Locations

  • Paper is stored on pallets in the storage closet near the elevator.
  • Restocking is handled by M-TEC maintenance if supplies are missing.
  • Envelopes, stationery, and backups are in the office supply drawer.

Toner Replacement & Waste

  • Ignore toner warnings until printing stops (cartridges last 500–1000 additional pages after message).
  • Replacement toner is in the second drawer right of the printer; emergency toner is in a locked cabinet.
  • Toner waste receptacles are rarely replaced; stored in the bottom drawer. Handle carefully to avoid spills.

Water Filter System

  • Black fridge dispenses filtered water and ice.
  • Yellow light signals filter replacement needed.
  • Backup filters are in the overhead cupboard; only the plumber can replace them.

Help Desk Access

  • Phone: (616) 234-4357 (HELP).
  • Email: ITSupport@grcc.edu.
  • Support Panel: Submit incidents or service tickets.
    • Use "Submit a Service Ticket" or "I just need help!" options
    • Do not use "Report an Incident" unless issue relates to multiple computers or printing.

Knowledge Base (KB)

  • Online articles with troubleshooting guides and service request instructions.
  • Smart search suggests resources as users type.

Common Technical Issues

  • Slow systems: clear cache, check for updates, restart.
  • Frozen computers: hold power button for 30 seconds.
  • Restart Chrome without losing tabs: type chrome://restart in Chrome address bar.

Software Center & Updates

  • Install licensed applications via Software Center.
  • “GRCC IT Check In” maintains licenses and settings.
  • Weekly restarts recommended for performance.
  • IT can assist Mac/Chromebook users with updates.

Phishing and Cybersecurity

  • Verify email senders and links before clicking.
  • Report suspicious messages via Gmail.
  • Avoid engaging with suspicious or unexpected emails.
  • If in doubt, Report as Spam.

Emerging Tools & Governance

  • AI chatbot under development to connect users with KB articles.
  • New governance process for software requests will review licenses and reduce overlap.
     

General Updates

HR Resources & Onboarding

  • Internal HR knowledge base created with onboarding guides.
  • Plans to reintroduce onboarding binders and videos for new hires.

Hiring Updates

  • Ongoing interviews for Job Training Program Manager, Marketing Specialist, and Community Recruitment Specialist.
  • Financial Analyst position recently closed.

Grants & Community Engagement

  • Partnerships forming with local foundations for workforce development.
  • Focus on sustainable, coordinated solutions rather than one-time funding.

Events & Dates

  • Commencement Week includes multiple faculty and student events.
  • Employee Appreciation Lunch scheduled for Thursday at 11 AM at the Raider Grill.
