FutureTech Enrollment Process: Workflow Overview

*For the purposes of this article, “FTC staff” refers to personnel from participating colleges and partner organizations involved in FutureTech Careers activities.*

1. Referral

A referral is submitted by:

  • Community Partner
  • Student
  • FutureTech Careers (FTC) staff

Referral sources vary, but the workflow that follows is the same for all.

 

2. FTC Coach Contact

The FTC Coach:

  • Introduces themselves (if needed)
  • Confirms basic eligibility
  • Explains what FTC offers
  • Reviews next steps in the intake process

 

3. Intake Form Completion

The participant completes the intake form, which includes:

  • Contact information
  • Demographic data
  • Grant-required fields (SSN, selective service, etc.)
  • General background information

Important:

  • The intake form is the same for every participant.
  • Missing fields may delay enrollment.

 

4. Eligibility & Program Matching

The FTC Coach:

  • Explains workshop and coaching opportunities
  • Discuss differences between Scholar and Ambassador expectations. 
  • Confirms program expectations

 

5. Enrollment Confirmation

Once intake is complete, the FTC Coach:

  • Submits the participant for approval in Launchpad
  • Begins standard case note tracking
  • Communicates enrollment confirmation to the participant and any involved parties

 

6. Participation Begins

Participants may begin:

  • Student
    • Class study in program of choice
  • FTC Coach
    • Coaching
    • Workshops
    • Career Success Program
    • Work-Based Learning (as eligible)

All participants follow the same FTC expectations for engagement and follow-up.

 

7. Ongoing Case Management

FTC Coaches:

  • Document case notes
  • Track training-related milestones
  • Provide ongoing support
  • Move participants through grant process through Launchpad

After completing training and gaining employment, participants enter Follow-Up stage in Launchpad.
Follow-up periods are grant-required and continue for four quarters after employment.
