Community Partner Referral & Handoff (Step-by-Step)

This guide outlines the standard referral and handoff process for community partners who are connecting participants to FutureTech Careers (FTC). Establishing a consistent referral method ensures timely follow-up, reduces communication gaps, and supports a smooth participant experience.

Preferred Referral Method

To standardize process and reduce confusion, community partners should follow this referral and handoff method:

*For the purposes of this article, “FTC staff” refers to personnel from participating colleges and partner organizations involved in FutureTech Careers activities.*

Step 1 — Enter the participant into Launchpad (if applicable)

(If Launchpad access is unavailable, proceed directly to Step 2.)

If the partner has access to Launchpad, they should:

  • Start a new participant record
  • Complete the intake process

 

Step 2 — Email the official FTC inbox

Send the referral to:

futuretechcareers@grcc.edu

This ensures all FTC staff receive the referral and allows the next available coach to respond promptly.

 

Required Referral Information

Include the following in the email:

  1. Legal Name of participant
    1. Preferred Name (if applicable)
  2. Contact Information
    1. Phone
    2. Email (personal or GRCC)
      1. Preferred contact method
  3. Expected GRCC Start Date (or if already enrolled)
  4. Preferred Program of Study

 

Who to CC on the Initial Email

CC depends on the type of participant:

For Dual-Enrolled Students Only (if information is known):

  • High School Counselor
  • GRCC Dual Enrollment Office

For All Other Participants:

  • CC partner staff involved with the participant

When in doubt, CC all relevant parties to maintain transparency.

 

Handoff Completion

The referral handoff is considered complete once FTC staff acknowledge receipt of the referral email.

Partners may receive:

  • A confirmation email
  • A request for clarification or missing details
  • Information about next steps for the participant

 

FTC Response Time

  • FTC staff strive to respond ASAP
  • The ideal response time is 2–3 business days

If no acknowledgment is received within this time, partners may resend the email or contact for confirmation.

 

Partner Responsibilities After the Referral

Community partners are expected to:

  1. Support ongoing communication, especially if the participant struggles with email/phone access.
  2. Notify FTC if the participant becomes non-responsive.
    1. If no contact has occurred within 3 months of intake, contact FTC and WMW!.
      1. If Launchpad status is Pre-Registration, proceed to move to Incomplete
  3. Help schedule or facilitate introductions, when language or barrier support is needed.
  4. Maintain involvement as appropriate (especially for individuals in situations mentioned in Step 3 above).

These responsibilities may evolve over time as the program matures.

 

Special Notes for Youth / Dual-Enrolled Referrals

For participants enrolled in high school:

  • Partners should follow the standard referral method
    • Default to high school counselor or GRCC dual-enrollment
  • Any youth-specific guidance or dual-enrollment process details should be found in the appropriate KB article
  • FTC will verify eligibility and age-based program limitations during intake
