Missing or Incomplete Information
Some required fields must be completed before a participant can move forward in Launchpad.
This may happen when:
- Information is skipped during entry
- The participant is unsure how to answer a question
- Information is unavailable at the time of entry
What partners can do:
- Pause entry and confirm information directly with the participant
- Use secure follow-up methods to gather missing information before submitting
Duplicate Participant Records
A participant may already exist in Launchpad due to:
- Prior involvement with another program
- Entry by a different organization
- A previous referral or attempt to enroll
What partners can do:
- Search for the participant before creating a new record
- Avoid re-entering a participant if an existing record is found
Before adding a new record, search for participant by Name, Email, Address, Phone, and SSN first. If participant is already in the system, a match should be found.
A participant already in Launchpad can be enrolled into more than one program: submit for approval as normal, verifying correct program is selected for enrollment.
If a duplicate account is suspected after submission, partners should not create a second entry, and contact appropriate FTC or WMW! staff.
Incorrect Information Entered
Because intake data is not independently verified, errors may occur if:
- Information is misunderstood
- A participant provides updated details later
- Data is entered incorrectly during intake
What partners can do:
- Do best to verify data with participant before submission
- Correct information if they have permission and access
- If unable to make changes, contact FTC or WMW! rather than re-entering the participant
Uncertainty About Enrollment Status
Partners or participants may be unsure whether a participant is:
- Still in Pre-Registration
- Fully enrolled in FutureTech Careers
This often occurs while the submission is going through Launchpad’s required QA process. Any staff with Launchpad access should be able to find a participant’s status on their Enrollment page.
When Partners Should Contact FutureTech Careers
Partners are encouraged to contact FTC when:
- Required information cannot be updated due to role or permission limits
- A duplicate record may exist
- A participant is unsure whether they are enrolled
- An entry was submitted incorrectly and cannot be corrected
- There is uncertainty about the appropriate next step
Reaching out early helps prevent delays and reporting issues.
Who to Contact
When assistance is needed, partners should contact:
- FutureTech Careers staff, or
- The SCC4 Data Tracking Specialist at GRCC
- Appropriate WMW! staff
If needed, FTC may coordinate with West Michigan Works! to resolve system-level issues.
What to Avoid
To reduce delays and confusion, partners should avoid:
- Re-entering a participant to correct errors
- Submitting incomplete information when it can be confirmed with the participant
- Assuming delays indicate a problem without first checking
Key Takeaway
Most intake issues can be prevented by confirming participant information at entry and checking for existing records. When issues cannot be resolved directly, contacting FutureTech Careers helps ensure participants can move forward without duplication or delay.
