How to Process High School Transcripts

High school transcripts/diplomas and GED Certificates are processed in the “Education” panel in PeopleSoft

  1. Career Data: Career should be set to “High School” for a high school transcript, diploma or GED.
     

  2. Transcript Status: Action should be set to “Received”; Data Source to “School”; Data Medium to “EDI” if sent electronically or “Hard Copy” if a physical copy was mailed; if there is a graduation date or it’s a GED  certificate, Transcript Status should be set to “Final”.
     

  3. Transcript Summary: Summary Type should align with the transcript you’re processing: G.E.D. for GED certificates and HS Overall for HS diplomas and transcripts. 

    a. If processing a HS transcript: Click into the GPA tab. Depending on the GPA scale used by the HS, you will enter “4.0” or “100.”; then the student’s weighted GPA in the “External GPA” box.

  4. If this is a final transcript with a graduation date or a GED certificate, click on the “Courses and Degrees” tab at the top of the page. 

  5. Enter the diploma information at the bottom of the page under the “External Degrees” section.

    1. Both HS transcripts and GEDs are entered as “HSD” under Degrees; skip to the Diploma Date box and enter the graduation or certificate date.

    2. Promise Zone needs this, so whenever possible, enter this information.
