This position is responsible for processing biweekly payroll and system changes for student employees.  This position will supervise student employees and provide customer service to students, staff, and external employers.

ESSENTIAL FUNCTIONS

  • Process and input new hires, concurrent jobs and re-hires into PeopleSoft system.
  • Process general ledger changes, position transfers, terminations and address changes into PeopleSoft.
  • Email general ledger splits to the Payroll Department.
  • Process I-9s for student employees (including international students), both hard copy and in PeopleSoft.
  • Create and print PAFs and send required copies to Payroll.
  • Monitor and take appropriate action for time sheets in the Perceptive Content student exceptions queue.
  • Monitor federal work study funds for student employees with work study awards.
  • Review student time sheets for errors (e.g. record numbers, email addresses, employee ID numbers, correct pay period dates, etc.).
  • Process all verification of employment (VOE) requests for current and former student employees.
  • Process invoices and send to Accounts Payable.
  • Transfer funds in PeopleSoft Financials.
  • Maintain forms/resources electronically and in SES Office
  • Hire, supervise, train, schedule, and evaluate student employees.
  • Oversee New Student Employee Orientation program and ensure materials and information remain up to date and relevant.
  • Run queries and social service reports in PeopleSoft.
  • Process budget transfers for work study adjustments.
  • Responsible for the backfile of all SES forms into Perceptive Content.
  • Front desk coverage as needed.
  • Assist with Handshake job posting system as needed.
  • Assist with planning and setup at SES sponsored events.
  • Serve as backup on-campus interviewer as needed.
  • Monitor and order office supplies.
  • Reserve meeting space in 25Live system and coordinate meeting logistics for department.
  • Assist with scheduling appointments for student employees to discuss criminal history not included on application with Associate Director and/or Coordinator of Student Employment as needed.
  • Provide customer service to students/staff/employers/alumni both on the phone, via e-mail and in person. 
  • Create advertising and promotional materials for Student Employment Services.
  • Responsible for organizing, scanning and maintaining the integrity of student employee forms while moving to electronic student employee files.
  • Ensure office equipment is functioning properly and troubleshoot as needed.
  • Provide assistance to students with Handshake at computer stations.
  • Ensure that employment related handouts are up to date.
  • Regular attendance during scheduled hours is required. Being present is essential for performing the essential functions of this position.
  • Performs other related duties as assigned

JOB SPECIFICATIONS

Educational Credentials

  • Associate degree required or comparable combination of relevant education and experience

Work Experience

  • Minimum of three (3) years’ experience in a similar customer service position required, preferably in higher education
  • Data management and database experience preferred

Skills

  • Excellent verbal, interpersonal, and written communications  
  • Strong working knowledge of Microsoft Office (MS Word, Excel, Powerpoint & Google Docs) and the willingness to learn PeopleSoft Campus-Wide Information System (CWIS) 
  • Excellent organizational skills, ability to prioritize, and complete tasks in a timely manner
  • Possess good proofreading skills and an aptitude for detail work 
  • Demonstrate ability in excellent customer service skills including effective communication both in person, telephone, and email
  • Must be able to use good judgment in handling sensitive or difficult situations 
  • Must be able to maintain confidentiality
  • Demonstrate ability in working in a cross-functional team and a collaborative learning centered environment
  • Must be self-motivated with the ability to work independently with minimal supervision
