The Associate Registrar is responsible for the customer service, transfer credit processing, and records management for the Student Records/Registrar’s office. The Associate Registrar reports directly to the Registrar and is responsible for the day to day operations of the office and supervision of the transfer credit evaluator and student employees.

ESSENTIAL FUNCTIONS

Assist the Registrar in overall management and planning for the office, including the development of Department Action Plans

Represent the Registrar in his/her/their absence

Supervise, evaluate and train APSS staff responsible for transfer credit

Responsible for the maintenance and oversight of the transfer credit database; including test credit, military credit, and other credit awarded for prior learning

Oversee records retention for the Student Records office and electronic documents and workflow

Responsible for the development of student service indicators, checklists, and task items. Assist the Registrar in reviewing requests from other college departments to develop new service indicators

Responsible for training staff and faculty on student records policies and retention requirements

Process, monitor and review all end-of-term functions including academic standing, repeat course checking, grading and honors/awards

Oversee Academic Standing policy and semesterly processes

Assist in the system development and implementation of current and new technologies for the Student Records Office and other areas of the college

Responsible for the development and monitoring of compliance requirements of student records. To include but not limited to FERPA, Michigan Transfer Network, CEPI STARR UIC resolution, and college policies

The Associate Registrar is responsible for the implementation of policies which includes training and communicating to appropriate constituencies as well as developing new business procedures and making necessary changes within the Campus Enterprise System. This role also serves as a primary resource to academic and student affairs personnel in regards to Records related questions

Assist in the implementation of CWIS software system upgrades and patch testing

Collaborate with staff from other segments of the college to implement new mandates, projects and initiatives

Represent the Registrar as required

Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position

Educational Credentials
Work Experience

Minimum of three years of Student Services experience, 5 years preferred

Experience in the Registrar's/Student Records office required, minimum of 2 years preferred
