ESSENTIAL FUNCTIONS

  • In coordination with the Technical Services Librarian, provide leadership, planning and guidance for all acquisitions activities which include ordering, receiving, fund accounting, and claiming; organize, manage and maintain accurate data and order information using the Integrated Library System (computer catalog)
  • Process billing invoices and reconcile funds for all library expenditures including print and electronic books and serials, licensed electronic databases, supplies, media, equipment, furniture, repairs, printing and postage
  • Create and maintain all financial and bookkeeping records with all vendors, including resolution of payment and receipt problems and claims for materials back-ordered, canceled, received damaged, or not shipped
  • Accountable for use and monthly reconciliation of a GRCC Procurement Card
  • Supervise the processing of materials with student workers to ensure accurately processed materials are available to customers in a timely way
  • Develop efficient acquisitions processes through online ordering and claiming, including new techniques, processes or procedures to reduce costs, create efficiencies
  • Stay up-to-date with new technologies, publishing trends, academic library trends, with vendors to continually assess and improve the acquisitions process
  • Ensure that common academic library standards and practices are followed
  • Input electronic purchase requisitions, correspondence and other reports as requested
  • Partner with vendors, including evaluation of vendor performance and innovation and cost data (direct and standing orders) to achieve time/cost savings and improve delivery of materials
  • In coordination with the Access Services Team, hire, train, supervise and evaluate student workers
  • Perform copy cataloging for all types of materials (print, non print, electronic) using the Integrated Library System
  • Lead or participate in projects that involve the Integrated Library System, or the Library and Learning Commons
  • Create Acquisitions statistical reports from Sierra as required
  • Update and monitor social media sites with appropriate Library information/events
  • Receive all gift materials and process according to Gift Materials Policy
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.
  • Performs other related duties as assigned

JOB SPECIFICATIONS

Educational Credentials

  • Associate's degree or comparable combination of relevant education and experience

Work Experience

  • Experience creating accurate statistical reports through the Integrated Library System
  • Experience and special expertise in the use of an Integrated Library System 
  • Experience with library databases highly desirable

Skills

  • Proficient computer hardware and software skills including, but not limited to Microsoft Office applications, OCLC, project management, ability to troubleshoot personal computers and printers, understanding of relational database applications and querying
  • Demonstrated ability with attention to detail
  • Ability to successfully work independently, prioritize and organize own work, and coordinate work activities of others
  • Ability to problem solve dealing with staff and faculty and vendors in the procurement of materials
  • Experience in establishing priorities, with the ability to be flexible, in a fast-paced, constantly changing library environment
  • Demonstrated working knowledge of MARC records, library cataloging tools, terminology, routines, policies, and procedures
  • Candidate must be willing to learn new software and increase technology skills
