The Support Professional, Health Admissions Coordinator, is responsible for maintaining the admissions process for Nursing and the Allied Health programs, including Radiologic Technology, Cardiovascular Technology (CVT), Dental Auxiliary, Magnetic Resonance Imaging (MRI), and Occupational Therapy Assistant.

ESSENTIAL FUNCTIONS
- Acts as the liaison between health programs and college student services related to health admission process
- Receptionist for all health program admissions; greeting and directing students and visitors; assisting students with questions and concerns; answering telephone inquiries; processing surface mail
- Conduct data entry in PeopleSoft for all phases of health admissions process including ready lists
- Create and maintain files in PeopleSoft and in hard/digital copy for students being admitted to health programs
- Review and generate communications with students for completion of health admissions requirements, including documentation of transcripts and pre-admissions tests
- Communicate with students to ensure completion of various health admissions requirements which include criminal background checks and drug screens
- Maintain the standards of health admissions through communication with students, staff and the community
- Update and maintain the Health Admissions manual
- Perform database queries in PeopleSoft for information requests for program directors, associate dean and other administrators, including documents such as information required for accreditation and reporting agencies
- Prepare a variety of letters, memos, forms and reports
- Initiate new processes to enhance the health admissions flow of information
- Act as back up to health department academic support staff as needed
- Assist health department directors as needed
- Contribute to a positive and professional work environment. Present a positive and professional image and be an excellent goodwill ambassador for the departments and the College
- Provide admission updates to the Program Directors
- Maintain confidential student records
- Ambassador for changes that align with health program requirement changes by attending meetings, convening meetings, informing stakeholders including advisors, APSS, directors and admissions department staff
- Convening meetings with the admissions department to inform of program changes and new program offerings
- Work with Academic Advising for transfer equivalences, course enrollment, and timeline
- Financial Aid advising, including creating letters of intent
- Ensuring webpages and catalog are up to date and aligned
- Digitizing Student Files
- Project a professional image including punctuality, dependability and good attendance records
- Excellent organizational skills, ability to multitask, prioritize and complete tasks in a timely manner
- Willingness and ability to learn the college-wide system.
- Demonstrated computer skills, Microsoft Office platform, Peoplesoft, Google Platform, ImageNow/Perceptive Content
- Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

JOB SPECIFICATIONS
Educational Credentials
- Associate’s degree or comparable combination of relevant education and experience required
Work Experience
- 3 years of experience in administrative assistant or customer service position required
- Experience communicating and working effectively with diverse population
Skills
- Excellent organizational skills, ability to prioritize and complete tasks in a timely manner
- Must be able to maintain confidentiality (understanding of FERPA and HIPAA laws and requirements)
- Able to prioritize and handle a constant and at times heavy workload and ensure that actions are completed effectively and within deadlines sometimes with minimal supervision
- Must be proficient in verbal, written, and interpersonal communication skills to work effectively with diverse populations.
- Proficient computer skills in PeopleSoft, Microsoft Office (MS Word, Excel, Access, PowerPoint), various database systems, and Drupal (for webpage updates)
- Demonstrated initiative and problem-solving abilities
