The Support Professional for Center for Counseling and Well-Being serves as the initial contact for the department and assists students, faculty and staff, in person, by phone, and via email. A key aspect of the work is to provide quality customer service with an ability to effectively discern eligibility and needs for initially determining an appropriate scheduling option. This position mandates the highest degree of maintaining client information and student utilization of Center for Counseling and Well-Being services, in compliance with state and federal regulations. Counseling and Career Development at GRCC provides free and confidential mental health and career counseling to current GRCC students. Our services also include same-day urgent consultations for students who are confronting current or recent traumatic crises or other acute mental health concerns.

ESSENTIAL FUNCTIONS

  • Scheduling student-client appointments, maintaining counseling staff schedules
  • Screen walk-ins for basic crisis level
  • Support CCD outreach activities through assistance with scheduling events, organizing and distributing materials, recording attendance, assisting with evaluations and other responsibilities for mental health awareness events and workshops
  • Attend and participate in staff meetings and maintain agenda and minutes
  • Responsible for maintenance and management of departmental web page
  • Monitor CCD email and voicemail throughout the work day, taking action on student and staff requests as needed
  • Document contacts with students as necessary
  • Monitor and process the departmental budget
  • Administer student evaluations in coordination with other departments
  • Assist in the maintenance of accurate daily schedules for counselors in various calendars, including Google and Titanium
  • Work with Google Suite, Microsoft Office, and Electronic Medical Records (EMR).
  • Maintain referral database including responding to inquiries and inviting community providers to participate
  • Assist in making/designing/distributing flyers for projects
  • Maintain department subscriptions (EHR, CCMH, etc.)
  • Support and assist PD and counselors with aspects of student-client case management
  • Assist students and counselors with referrals to campus departments & services
  • Manages communication between the campus and the counseling center with regard to:
    • Availability/Accessibility and the Value/Utility of the Counseling Center to the campus community (including location, contact info, and hours of operation)
    • Services offered by the counseling center (including clinical, consultative, and outreach services)
    • Requests from campus constituents for counseling center information and/or services related to counseling center expertise (programs, tabling events, consultations, training sessions, etc.)
  • Inventory and order office supplies as needed
  • Participate as a member of College, Divisional and Departmental teams or committees as requested or as mutually agreeable
  • Completion of administrative support tasks as needed
  • The CCD shares a common office and lobby space with the Disability Support Services (DSS) program. This position will provide backup and support for students in the DSS program as needed. This can include, but is not limited to, checking students in for appointments, scheduling appointments, requesting information from DSS Counselors on behalf of students, etc.
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.
  • Perform other duties as assigned

JOB SPECIFICATIONS

Education Credentials

  • Associate Degree required or comparable combination of relevant education and experience.

Work Experience

  • Three (3) years of administrative support experience required
  • Prior experience working in a higher education setting that provided mental health and/or related services is preferred
  • Ability to provide excellent customer service to students and staff in a demanding work environment preferred

Skills

  • Must be proficient in verbal, written, and interpersonal communication skills.
  • Must be willing to learn (prior experience preferred) the GRCC Campus Wide Information System. (PeopleSoft) and additional proprietary software programs.
  • Adherence to state and federal law regarding the confidentiality of personal health information (PHI), FERPA, and other data.
  • Demonstrated experience providing strong interpersonal skills and a demonstrated ability to work as part of a team.
  • Excellent organizational skills and the ability to prioritize and complete tasks in a timely manner.

  • Ability to mentally and emotionally manage the potential stress and strain of providing administration to a high-risk high-needs student population.
  • Ability to gather data, compile information, and prepare statistical reports.
  • Ability to work under pressure with many interruptions in a busy, student-centered environment.
  • Must enjoy working with the public and possess good oral and written communication skills.
  • Ability to manage a high volume of service requests via phone and in person promptly, courteously and professionally.
  • Aptitude for assessing office needs and implementing appropriate initiatives.
  • Ability to provide support, guidance, and direction to student workers, faculty and staff of the department.
  • Ability to perform routine as well as unexpected duties with minimum supervision.
  • Must use good judgment in handling sensitive or difficult situations in a pleasant and professional manner.
