Question
How do I create appointments in my Google Calendar?
Environment
Information
Google Calendar's Appointment Schedule feature allows you to set up a block of time that others can use to reserve specific slots. This is ideal for instructors hosting office hours, advisors scheduling student check-ins, or staff managing consultations.
Resolution
Creating an Appointment Schedule
- Navigate to Google Calendar (opens in a new window).
- In the top-left corner, click the Create button.
- Select Appointment schedule from the dropdown menu.
- Enter a Title for your appointment block (e.g., "Professor Smith's Office Hours").
- Set your Appointment duration (e.g., 30 minutes) and define your General availability for each day of the week.
- Configure your Scheduling window to determine how far in advance (or how close to the time) people can book.
- (Optional) Use Adjusted availability to make exceptions for specific dates (like holidays).
- (Optional) Add Booked appointment settings to include buffer times between slots or set a maximum number of bookings per day.
- Select Next.
- Customize your booking page by adding a Location (Physical address or Google Meet), Description, and Booking form questions.
- Select Save.
Sharing the Appointment Page
Once your schedule is saved, you must provide the booking link to your attendees:
- On your calendar grid, click on any part of the Appointment Schedule block you just created.
- In the popup window, click the Share button or select Open booking page.
- Copy the Booking page link.
- Paste this link into an email, syllabus, or your Blackboard course site for others to access.
Note: Recipients may be prompted to sign in with a Google Account to book a slot. If they do not have one, they can select "Create account" at the bottom of the Google sign-in page.
